Modern Admin Weekly | Issue No.024
Hi — Liz here. 👋🏾
We have quite a few new faces this week, so if this is your first issue, welcome! I’m so happy you're here.
There's usually a little lesson tucked into each week's curation. This week? Don't count yourself out just because of a job title.
Take the Membership Director role at Assemble. It might not seem like the obvious next move for an Executive Assistant, Operations Manager, or Chief of Staff, but look a little closer and you'll see plenty of transferable skills.
As a recruiter once told me, “Find the parallels, then craft your story.”
Let's get into it.
The Book You Keep Meaning to Read Is Here
Everyone has a list of books they swear they'll get to. Atomic Habits. Never Split the Difference. The 48 Laws of Power.
Shortform has covered over 15,000 books, so the one you're thinking of is probably there. Each guide gives you the key ideas, how they connect to other books, and what to do with them.
Swap 10 minutes of scrolling for one big idea a day.
🔎 How We Curate
Every role featured in Modern Admin meets the following criteria:
🧑🏽💻 Flexibility Matters — we prioritize flexibility, but great work can happen in person too
💰 Pay Transparency — if a company knows their budget, so should you
🤝 Culture Check — we look beyond the job description at the employee experience
🗂 Role Integrity — titles should match scope (no inflated or misleading roles)
🌱 Room to Grow — we look for meaningful ownership and career-building experience
🗓️ Still Hiring — every role is verified before we publish
01. Senior Executive Assistant
Viz.ai
$105K–$165K · Remote (US) · Full-Time
Industry: Healthcare AI / Technology
Posted: October 15, 2026
Why we love it: This is an executive partnership role, not simply calendar management. You'll support multiple senior leaders, drive priorities forward, coordinate leadership offsites, and build AI-powered workflows. We especially love that Viz.ai explicitly values independent judgment, collaboration, and proactive problem-solving.
The fine print: Requires 5+ years supporting multiple C-level executives or VPs, ideally in SaaS or healthcare. Expect coordination across US and Israel time zones, with occasional flexibility outside standard hours. Equity and bonus are offered.
02. People Operations Manager
OptiFunder
$140K–$170K · Remote (US) · Full-Time
Industry: Fintech / Mortgage Technology
Posted: October 13, 2026
Why we love it: A rare opportunity to build a People function from the ground up while working directly with the CEO. You'll shape employee experience, career development, performance management, and operational systems. We especially love the company's commitment to professional development, with a goal of 20 hours of training per employee annually.
The fine print: This is a hands-on, individual contributor role with broad ownership across HR, recruiting, compliance, and operations. AI and automation experience are expected. Requires 5+ years in HR, People Operations, or business operations, plus experience working with a PEO.
03. Executive Assistant
Crown Affair
Not Disclosed · Remote (US; LA/NY Preferred) · Full-Time
Industry: Beauty / Consumer Goods
Posted: October 15, 2026
Why we love it: A front-row seat to building one of beauty's most exciting modern brands. You'll partner directly with Crown Affair's CEO, gain exposure to business strategy and leadership decisions, and collaborate with an existing Executive Assistant rather than operating entirely solo.
The fine print: Must have 5+ years supporting senior executives, ideally at the C-suite level. Los Angeles candidates are preferred, though New York is considered. The role also supports two additional executives and requires occasional flexibility outside standard business hours.
04. Membership Director
Assemble
$80K–$100K · Remote (US) · Full-Time
Industry: Executive Communities / Professional Services
Posted: October 9, 2026
Why we love it: An exciting career pivot for professionals who thrive on relationship-building, thoughtful conversations, and connecting people. You'll facilitate peer discussions among senior executives, explore emerging business topics, and cultivate a community of leaders across major companies. We especially love Assemble's remote flexibility, summer hours, and commitment to inclusive hiring.
The fine print: Despite the Director title, this is an individual contributor role focused on community engagement rather than people management. Strong communication, facilitation, and executive relationship-building skills are essential, along with responsibility for membership renewals and occasional travel.
05. Office Manager
e.l.f. Beauty
$80K–$110K · New York, NY (On-Site) · Full-Time
Industry: Beauty / Consumer Goods
Posted: October 16, 2026
Why we love it: A workplace experience role at one of beauty's biggest growth stories, with a portfolio that includes e.l.f. Cosmetics, Naturium, and rhode. You'll be the heartbeat of the NYC office, shaping everyday employee experiences, leading events, and creating a workplace people actually enjoy coming into. We especially love the compensation package: bonus eligibility, equity, unlimited PTO, and year-round half-day Fridays.
The fine print: Requires 2–5 years in office management or facilities operations. This is a hands-on, on-site role covering everything from workplace culture and vendor management to facilities, inventory, and front-desk support. Employee culture reviews are mixed, so candidates should explore the team experience during interviews.

Your question:
“Is an end-of-year party really the best way to thank employees?”
Our take:
It's one way to thank employees, sure. But there are plenty of alternatives.
Consider an extra day off, a thoughtful employee gift, or a catered lunch. And if it's feasible and equitable, closing the office for the last week of the year is certainly one way to spread some holiday cheer.
Or, our favorite: ask employees what they'd actually appreciate.
After all, not everyone wants another party on their calendar.
